JOB SUMMARY:

The Assistant Manager plays an important role in supporting the day-to-day operations of The Dashery. This position combines office administration, accounts payable, payroll, employee scheduling, inventory management, purchasing support, and retail floor responsibilities.

The ideal candidate is organized, detail-oriented, financially minded, and willing to jump in wherever needed. This is not a strictly office-based position. The Assistant Manager will work closely with the Operations Manager and Owner to help keep the financial and operational side of the business running smoothly while also supporting scheduling, inventory, merchandising, the sales floor, and customer experience.

This role is ideal for someone who enjoys variety, takes ownership of their responsibilities, and understands that successful retail requires strong behind-the-scenes systems as well as a great customer experience.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

Office, Financial & Accounts Payable:

  • Work closely with the Operations Manager and Owner to support the financial and administrative operations of the business.
  • Manage and process accounts payable, including entering bills, organizing invoices, and ensuring payments are properly documented.
  • Assist with bookkeeping and financial recordkeeping as assigned.
  • Maintain organized vendor, purchasing, expense, and financial documentation.
  • Assist with reconciliations, reporting, filing, and other office management responsibilities.
  • Help identify discrepancies, missing information, or areas requiring follow-up.
  • Maintain confidentiality when working with company financial and employee information.
  • Support other administrative and office needs as assigned.

Payroll, Scheduling & Staffing Support:

  • Assist with and/or manage the accurate and timely processing of company payroll.
  • Review employee timecards and timekeeping records for accuracy prior to payroll processing.
  • Identify and resolve missing punches, timecard discrepancies, overtime concerns, and other payroll issues.
  • Maintain accurate payroll and employee records as required.
  • Coordinate payroll changes, deductions, reimbursements, and other payroll-related information as needed.
  • Work closely with the Operations Manager and Owner to monitor payroll expenses and staffing costs.
  • Create and maintain employee schedules based on staffing needs, payroll budgets, employee availability, and anticipated business volume.
  • Ensure schedules provide appropriate sales floor coverage while remaining within established payroll expectations.
  • Assist with schedule changes, time-off requests, call-ins, and coverage needs.
  • Proactively identify staffing gaps and work to resolve them.
  • Communicate schedules and scheduling changes clearly and in a timely manner.
  • Assist management with planning staffing needs for holidays, events, peak seasons, and other high-volume periods.
  • Maintain confidentiality and accuracy when handling payroll and employee information.

Inventory & Purchasing:

  • Assist with inventory management and inventory accuracy across the business.
  • Enter and maintain purchase orders accurately and in a timely manner.
  • Review incoming merchandise against purchase orders and vendor invoices.
  • Assist with receiving, transfers, adjustments, and inventory discrepancies.
  • Work with the Operations Manager and Owner to ensure inventory records are accurate and organized.
  • Communicate with vendors regarding invoices, credits, shortages, damages, and other discrepancies when needed.
  • Assist with inventory counts and inventory-related projects.
  • Help maintain organized systems for purchase orders, receiving, and vendor documentation.

Sales Floor & Customer Experience:

  • Regularly support the sales floor based on business and staffing needs.
  • Provide excellent customer service and assist customers with product selection, styling, sizing, and purchases.
  • Clerk and operate the point-of-sale system as part of regular job responsibilities.
  • Assist with opening, closing, and other daily retail procedures as needed.
  • Help maintain a clean, organized, welcoming, and professional store environment.
  • Step into floor coverage when additional sales support is needed.
  • Help ensure customers consistently receive the level of service expected at The Dashery.

Merchandising & Retail Operations:

  • Assist with merchandising new arrivals and maintaining visual standards throughout the store.
  • Help execute floor moves, displays, seasonal transitions, markdowns, and promotions.
  • Assist with processing, tagging, steaming, organizing, and putting away merchandise.
  • Support product transfers and movement between locations as needed.
  • Help identify inventory opportunities, product needs, and operational issues on the sales floor.
  • Participate in the everyday tasks required to operate a successful retail store.

Leadership & Team Support:

  • Support the Operations Manager and Owner in implementing company procedures and operational priorities.
  • Help provide direction and support to team members when management coverage is needed.
  • Assist in maintaining appropriate staffing levels and coordinating employee schedules.
  • Monitor payroll and staffing needs with an understanding of their impact on store profitability.
  • Lead by example in customer service, productivity, organization, integrity, and accountability.
  • Communicate operational, staffing, scheduling, payroll, and inventory concerns to leadership.
  • Help create consistency between the administrative, financial, inventory, scheduling, and sales sides of the business.
  • Be willing to step into different areas of the business based on current priorities and needs.

QUALIFICATIONS:

  • Previous experience in retail, office administration, bookkeeping, payroll, inventory management, scheduling, or a related position preferred.
  • Management or leadership experience preferred.
  • Experience with accounts payable, payroll processing, invoicing, purchase orders, scheduling, or financial recordkeeping strongly preferred.
  • Strong organizational skills and exceptional attention to detail.
  • Comfortable working with numbers and financial information.
  • Strong computer skills and ability to learn new software and systems.
  • Ability to prioritize multiple responsibilities and shift between office and sales floor tasks.
  • Strong written and verbal communication skills.
  • Ability to make sound scheduling and staffing decisions based on business and payroll needs.
  • Ability to work independently while also collaborating closely with management and the retail team.
  • Dependable, professional, and able to handle confidential financial and employee information appropriately.
  • Willingness to work some weekends and adjust schedule based on business needs.
  • Must be comfortable working directly with customers and performing hands-on retail duties.

This person will help maintain accurate financial, payroll, and inventory systems; create effective employee schedules; keep office responsibilities organized; support the Operations Manager and Owner; and willingly step onto the sales floor when the business needs them.

They will understand the connection between sales, inventory, staffing, payroll, and profitability and help leadership make sure those pieces work together effectively.

SCHEDULE:

This is a full-time salaried management position. The schedule will primarily support weekday business and administrative needs; however, some weekends are required. Flexibility is expected based on staffing, seasonal needs, events, and the overall needs of the business.
