Alexandria Public Schools is seeking a detail-oriented and highly organized Special Education Transportation Secretary to support the coordination of transportation services for students with special needs. This position plays a vital role in ensuring safe, efficient, and compliant transportation by managing administrative functions, coordinating with multiple departments, and maintaining accurate student records.
Create and maintain transportation schedules for special education students, taking into account accessibility needs, medical equipment, and personalized pick-up/drop-off locations.
Develop and monitor schedules for the district’s van fleet.
Coordinate with bus drivers and aides to ensure proper student assignment.
Adjust routes as needed based on student changes or scheduling updates.
Maintain accurate records for each student’s transportation needs, including medical and accommodation details.
Ensure timely updates to student data and maintain documentation for audits and compliance.
Serve as a point of contact for parents/guardians regarding transportation arrangements, changes, and concerns.
Collaborate with special education teachers and administrators to ensure transportation services align with IEP requirements.
Work closely with the transportation department to resolve service issues.
Ensure compliance with federal and state regulations regarding special education transportation.
Record and track all special education miles and shuttle usage for state reporting.
Prepare reports and maintain documentation for audits and internal reviews.
Coordinate training for transportation staff on supporting students with special needs.
Respond to concerns related to student safety and transportation best practices.
Hours/Days per year:
Monitor and dispatch buses and district vehicles via two-way radio in coordination with the department and Dispatcher.
Answer phones and respond to inquiries from staff, drivers, parents, and students.
Handle complaints, safety concerns, and stop arm violation reports.
Print and distribute field trip assignments; monitor and enter field trip data into TCP.
Maintain driver files and assist with special projects or other duties as assigned by the Transportation Director.

Proficiency in scheduling and data management software
